let’s be honest—
wedding stationery can feel like a lot.
Save-the-dates, invitations, menus, seating charts, thank-you cards… the list adds up quickly. But the good news? It doesn’t have to be stressful. With a clear timeline (and a few insider tips), you can stay organized, avoid last-minute panic, and actually enjoy the process. Here’s a simple guide to help you figure out what you need, when you need it, and how to avoid common stationery slip-ups.
your wedding stationery timeline…
Save-the-Dates
When to send: 6–12 months before your wedding
Why: These give your guests a heads-up so they can book time off, arrange travel, and start looking forward to the big day.
Bonus tip: If you’re planning a destination wedding or getting married during a busy season, send these closer to the 12-month mark.

Wedding Invitations
When to send: we recommend 12–16 weeks before the wedding
Why: This gives your guests time to RSVP, book accommodations, and make plans. It also allows you to set an RSVP by date a minimum of a month before your event so you can wrangle up those who didn’t respond, and send the final list to those who need it.
What to include: Your names, the date, time, location, dress code (if you have one), and RSVP details.

Day-of Stationery
This covers all the little printed pieces you’ll use on your wedding day:
• Seating charts
• Signage
• Menus
• Programs
• Place cards
• Vow books
When to finalize: 4–6 weeks before the wedding This gives you time to finalize your guest list and catch any last-minute changes.
Important tip! It’s SUPER important at this point to send your information to your stationer ASAP. When wedding season hits, things get busy and your stationer may be doing multiple weddings on the same date. They set aside time in their schedule to work on your stationery, and if you are late providing what they need, you may need to be pushed to the next availible design time slot.
Thank-You Cards
When to send: 2–4 weeks after the wedding (or after receiving a gift)
Why: It’s a thoughtful way to thank your guests—and it’s just good manners.

things people forget—
Even with the best intentions, a few common things tend to fall through the cracks when it comes to stationery. Here’s what we see most often:
1. Forgetting to Update Last Names
If the bride is taking the groom’s last name, your seating chart is usually the first place that new name shows up in print. It’s a special moment! Double-check that it’s spelled and formatted the way you want it before you hit “print.”
2. Leaving the Guest List Until the Last Minute
We get it—finalizing a guest list can be tricky. But last-minute changes can lead to rush fees, costly reprints, or even errors. We always recommend locking in your final list well ahead of time, especially for seating charts and place cards. (Trust us, this saves you stress later.)
3. Not Ordering Extras
Always order a few extra invitations, menus, and place cards. You’ll want keepsakes, flat lay pieces for your photographer, and spares in case of last-minute add-ons.
4. Skipping the Proofing Process
It sounds simple, but you’d be surprised how often small typos sneak in—especially when you’ve been staring at the same wording for weeks. Take a break, come back with fresh eyes, or have someone else read it over before approving the final proof.
